RESERVATION AGREEMENT & POLICIES
Back in Time Rentals has to offer you our guests
and new friends a very enjoyable and relaxing stay in either our
completely renovated farmhouse on 2 acres in a beautiful country
setting or our newer cabin Cedar Ridge located right off the
parkway in Pigeon Forge. We invite you to come and enjoy our
rentals and the beautiful Smokey Mountains without having to pay
the added costs the big rental companies charge. We hope to hear
from you soon!
MINIMUM NIGHTS
Back in Time Rentals requires a two-night minimum stay. A 3-night
stay is required for New Years. A 5-night stay is required for
Thanksgiving and Christmas Holiday.
RATES AND MAXIMUM OCCUPANCY
Rates are based on (two) 2 occupants for each cabin. Additional
charges will apply for more than two occupants in each cabin. You
must provide the number of guests, including children, when making
your reservation. For fire safety reasons we must account for all
individuals occupying the rental property during your stay. If you
are found having more guest than you are registered for at
check-in, you will be asked to vacate the premises and no monies
will be refunded. Also, there must be at least one (1) adult age
21 or older in residence and on the premises at all times children
are present.
PAYMENT PROCEDURES
All payments and deposits are to be made to Back in Time Rentals
unless otherwise instructed. This can be in the form of a money
order or personal check. If making a deposit in the form of a
personal check it must reach us one week prior to your stay. To
make a reservation call us at (865) 740-6707. To reserve your
cabin you will need to make payment for the first night for a two
night stay, and a two night deposit for a stay 3 days or more. At
check-in we will accept Cash, Money Orders, Certified Checks, and
Travelers Checks. We do not except credit cards, which helps us
keep down costs. No personal checks will be accepted at check-in.
CANCELLATIONS AND RENTAL CHANGES
To cancel a reservation, you must call 30 days prior of your
arrival date to make your cancellation or change your reservation
dates. Deposits made before a cancellation are non-refundable if
the cancellation is made less than 30 days prior to your arrival
date. However, if you want to change your dates, your deposit will
be applied to your new reservation date.
REFUNDS
We will do everything we can to make sure your rental is ready for
you. Any damages or problems not reported by the tenant upon
arrival will be charged to the tenant. No refunds will be issued
for early departure; malfunctions in the equipment (i.e. hot tubs,
televisions, VCR) weather conditions, or any other reason.
RENTER RESPONSIBILITIES
Upon arrival, we ask that you inspect the rental property and
report any problems within 2 hours of check-in. Renters will be
held responsible for any damaged or missing items or damage to the
premises during their stay, negligent-destruction or vandalism. We
cannot be responsible for any items lost or missing during your
stay.
EQUIPMENT REPAIRS/MECHANICAL FAILURES
We do our best to keep all the appliances, heating and air,
plumbing, hot tub, etc...
in good working order. If something malfunctions or breakdowns
during your stay we will do our best to get the problem fixed. We
do not offer any sort of refund or compensation for equipment
failure/ malfunction, satellite or cable malfunctions.
POWER OUTAGES
Sometimes in the mountains we experience power outages. If you are
staying in a cabin that is on well water when the power goes out,
you will not have water until the power comes back on. A well
requires electricity to work. Having an extra gallon or two of
water on hand is a good idea. Flushing the toilets also requires
water. Being prepared can make all the difference in the world.
Back in Time Rentals does not refund or compensate for power
outages or other acts of nature.
WEATHER AND ROAD CONDITIONS
The weather in the mountains is very unpredictable we highly
recommend four-wheel drive and/or chains during the snow months as
we do not refund due to weather or road conditions.
HOT TUBS
When using the hot tub, please remember there are certain health
risks that are associated with this facility. We drain, sanitize,
refill and replenish chemicals in all hot tubs prior to your
arrival; therefore, it may not be warm till later in the evening.
Hot tub covers are for insulation purposes and are not designed to
support a person or persons. DO NOT SIT, STAND OR LAY ON THE HOT
TUB COVERS, they will break and you will be charged for the
replacement. Remember when not using the hot tub; leave the cover
on so the hot tub will stay warm.
HOUSE PARTIES
At no time during your stay is a party allowed. If you are caught
having a party of any sort, you will be asked to leave
immediately, and no monies will be refunded
HOUSEKEEPING & AMENITIES
Our homes are equipped with basic housekeeping along with a supply
of linens and towels. All kitchens are fully equipped along with a
starter supply of soap, dishwashing detergent, toilet paper and
trash bags, but must be replenished by the renter as needed. All
homes have coffee makers but we do not supply the filters or
coffee.
Fireplaces are Closed April through September.
Sorry, no Pets allowed.
All Accommodations are non-smoking accommodations
Check-in Time is 4:00 p.m. or later. In the rare
event additional cleaning was required from the previous tenant,
the maid reserves the right to occupy the home until it is cleaned
and ready for your check-in.
Check-out Time is 10:00 a.m. Here at Back In Time
Rentals we do not charge a cleaning fee, but would appreciate your
help in cleaning up as much as possible to help us keep cost down
and continue to offer you this savings. A list of check-out
procedures are posted in each home.
NOTE:
Back in Time Rentals or the owners are not responsible for any
accidents, injuries or illness that could occur while you are on
the premises or its facilities. Nor, are we responsible for the
loss of belongings or valuables of the guests. By accepting this
reservation, it is agreed that all guests are expressly assuming
the risk of any harm arising from their use of the premises or
others whom they might invite to use the premise.
